Artist Participation Guidelines
Date and Time: Sunday, June 28 2020 8:00am to 12:00pm Wet Paint Sale - 12:00pm to 1:00pm
Registration and Fees: Artists are asked to preregister using the button below. Artist registration is $25.00.
Check-in: Each artist must check in at the south entrance gate between 7:30am to 9:00am. All painting surfaces to be submitted for judging must be stamped at check-in prior to painting.
Supplies: Artists are responsible for bringing all needed supplies and transporting them to their painting site.
Painting Location Area: Artists may paint any subject or outdoor scene s/he chooses within the Wilbur D. May Arboretum. The site must be accessible and should not impede pedestrian traffic or disrupt events such as weddings. Each artist is expected to maintain complete respect for the environment and they will be required to wear a name tag at all times. Painting(s) must be completed in the outdoor area and not from photographs. A map of recommended painting sites throughout the gardens and groves will be provided at check-in.
Jurying: The maximum allowed finished size for judging eligibility excluding the frame is 16 inches by 20 inches. Each piece for award entry must be painted en plein air, with nothing pre-painted or pre-drawn. Toned canvases are permitted. Artists may stamp an unlimited number of canvases, but may only submit up to three pieces for jurying, display, and sale.
Jurying and Wet Paint Sale: Only stamped canvases may be shown or sold. Each submitted piece must be labeled with the artist’s name, title, and asking price.
Awards/Prizes: Awards will be given for Best in Show - Amateur, Best in Show - Professional, and People's Choice.

Proceeds: For all artwork sold, the May Arboretum Society will retain a 30% commission. The May Arboretum Society will collect all monies from the sale of the artwork. Artists will receive payment by August 15, 2020. A completed W-9 will be required by the artist for payment.
Unsold Artwork: Artists may donate unsold artwork to the May Arboretum Society to be used for future fundraising purposes. All artists who donate their unsold artwork will receive a donation receipt for tax purposes.
Liability: The May Arboretum Society assumes no responsibility for theft, damage, or liability. The artist is responsible for insurance of artwork.
Use of images: Artists agree to allow the May Arboretum Society to use of images produced during the event.

FAQs
- Can I register on site? Yes. You may register the morning of event after pre-registered artists have completed their check-in. Just come to the South Gate Entrance and we will get you set up!
- Is there a registration fee to participate? Yes, there is a registration fee of $25.00. Registration fees are non-refundable.
- Do I have to frame thick canvas? If you choose to work on a gallery wrapped canvas that is at least one-inch thick, you do not need to frame it. However, it does need to be ready for hanging and please make sure your edges are finished.
- Are other mediums allowed? Yes! Watercolor, pastel, charcoal, crayon; your choice to use on canvas, wood, metal, whatever!
- I am a watercolorist using watercolor paper. Won’t the stamp show through the paper? Potentially yes, so we’ll have our check-in volunteers sign a corner of your paper indicating it was checked.
- Does the 16″ x 20″ maximum size include the frame? No, the canvas itself must be no larger than 16″ x 20", without the frame and matting.
- What are the funds raised by this event being used for? Funds raised from the event will go to the May Arboretum Society to support their efforts towards maintaining and improving the Wilbur D. May Arboretum. Memberships are available starting at $20.00 and donations are appreciated.
- May I participate without submitting work for judging? Yes, all artists, from hobbyist to professional, are welcome to participate in the event. Our goal is for everyone to come out and enjoy the wonders and benefits of the Wilbur D. May Arboretum and Botanical Garden.
